The audit process in higher education institutions often relies on fragmented, semi-manual, or paper-based systems that lead to document loss, duplication, inefficient retrieval, and poor workflow management. At Universiti Poly-Tech Malaysia (UPTM), the absence of a centralized audit document management system has resulted in limited accessibility, lack of real-time tracking, and ineffective collaboration among auditors and academic staff. These challenges hinder decision-making, delay approval processes, and increase the risk of non-compliance during audits. This project proposes the development of an Audit Document Tracking System (ADTS), a centralized web-based platform designed to streamline audit document management and workflow processes. The system aims to analyze user requirements, design a structured and role-based platform, and develop functionalities that support real-time tracking of document submission and status. Key features include centralized document storage, version control, workflow automation, and real-time visibility to enhance transparency, accountability, and efficiency. By integrating these features, ADTS is expected to reduce document redundancy, minimize administrative workload, and improve accessibility and traceability of audit records. The system also facilitates timely submission and monitoring of audit-related documents, ensuring compliance with institutional requirements. Ultimately, this project contributes to the digital transformation of audit management practices in UPTM, providing a more reliable, efficient, and scalable solution for document tracking and audit workflow management.
