The current credit transfer application process at Universiti Poly-Tech Malaysia (UPTM) is conducted manually, involving multiple stakeholders, including students, Head of Program (HoP), Resource Persons (RP), and the Academic Affairs Sector (AAS). This process relies heavily on physical forms, manual transcript verification, syllabus comparison, and repetitive document handling, which often leads to inefficiencies, delays, and increased risk of human error. To address these challenges, the proposed UPTM Credit Transfer System has been developed as a comprehensive digital solution to streamline and modernize the entire workflow. The system enables end-to-end online application submission, centralized data management, and real-time tracking of application status, thereby improving transparency and operational efficiency. A key innovation of this system is the integration of automated syllabus comparison using Decomposed (DECOMP) Prompting, an AI-driven approach that breaks down course content into structured components for more accurate and consistent evaluation. This reduces dependency on manual analysis and enhances decision-making accuracy for credit equivalency. By digitalizing the credit transfer process, the system significantly reduces processing time, minimizes administrative workload, and improves user experience for both students and academic staff. Ultimately, this innovation supports UPTM’s digital transformation agenda and contributes to a more efficient, scalable, and intelligent academic management ecosystem.
