Synopsis of StageAI: Smart Event Management System

StageAI is an innovative, AI-powered smart event management system developed by the Tun Abang Haji Openg Digital Centre (TAHODC) at UNIMAS. Initiated in 2024, the platform was built in three phases to upgrade the legacy eKonvo system by integrating high availability, Artificial Intelligence (AI), Internet of Things (IoT), and facial recognition technologies.

The system's unique smart queue management incorporates AI Voice technology, which accurately pronounces diverse graduate names, drastically reducing audio preparation time from one month to under an hour and eliminating the need for human announcers. Additionally, a Face Recognition System verifies graduate identities in under five seconds, while IoT Sensors (RFID and IR Breakbeam) automate the event flow, reducing human error and minimizing the required on-stage queue release staff.

StageAI significantly enhances cost-effectiveness and operational efficiency by reducing on-stage personnel from 15 to 7, eliminating 14 manual name readers, and transitioning hardcopy workflows to a paperless, dynamic queue system.

Following a successful debut at the 2025 UNIMAS Gemilang Awards (MAGU) and parallel testing at the 28th UNIMAS Convocation, the system will be fully utilized for the 29th Convocation in November 2026. Furthermore, its flexible and replicable architecture has garnered positive interest from over six other Malaysian public universities for future adoption in their own convocation ceremonies.
